Introduction
Advanta Systems, LLC, a Washington limited liability company ("Advanta," "we," "us," or "our"), respects your privacy and is committed to protecting it through our compliance with this policy.
This policy describes:
- the types of information we may collect or that you may provide when you access or use the Services; and
- our practices for collecting, using, maintaining, protecting, and disclosing that information.
This policy applies to information we collect through the Services and in email, support requests, and other electronic communications sent through or in connection with the Services.
This policy does not apply to information:
- we collect offline or through any other website, application, or service that does not link to this policy;
- collected by third-party websites, applications, services, or integrations that may link to or be accessible from or through the Services; or
- collected or processed by Users outside the Services.
Third-party websites, applications, and services are governed by their own privacy policies and terms.

This policy is intended to describe Advanta's privacy practices and is not intended to create contractual rights separate from our Terms of Service or any other agreement that applies to your use of the Services. Capitalized terms used but not defined in this policy have the meanings given to them in the Terms of Service. If this policy conflicts with the Terms of Service, the Terms of Service controls, except that this policy controls with respect to describing Advanta's privacy practices.
Children Under the Age of 18
The Services are intended for internal business use and are not for anyone under 18 years of age.
We do not knowingly collect personal information from children under 18. If we learn that we have collected or received personal information from a child under 18, we will delete that information. Information We Collect and How We Collect It
We collect information from and about users of the Services:
- directly from you when you provide it to us;
- automatically when you use the Services; and
- from service providers and integrations used to operate the Services.
Information You Provide to Us
When you create an account, subscribe to the Services, upload information, use Services features, or contact us, we may collect information including:
- account information, such as your name, email address, login credentials, and basic profile information;
- information you provide through a third-party identity provider if you use one to sign in;
- billing-related information, such as subscription status, plan, billing dates, and transaction records;
- correspondence and support information, including records and copies of your communications with us;
- prompts, questions, instructions, report settings, and other information you provide when using the Services; and
- User Data, including financial statements, spreadsheets, PDFs, loan details, forecasts, notes, and related business financial information that you upload or enter into the Services.
The core of the Services is the financial data you choose to enter or upload. That information may include financial information about businesses you analyze, including your clients or other third parties. You are responsible for having the right to upload and process that information through the Services.
Payments are processed by our payment processor. We do not store your full card number. The payment processor's handling of your payment details is governed by its own privacy policy.
Information We Collect Through Automatic Data Collection Technologies
As you access and use the Services, we may automatically collect certain information about your device, browser, and usage activity, including:
Usage Details. We may collect details of your access to and use of the Services, including pages viewed, features used, approximate timing, logs, and other usage information.
Device and Technical Information. We may collect information about your browser, device, internet connection, IP address, operating system, device type, and similar technical information.
Cookies and Similar Technologies. We use cookies and similar technologies that are essential for sign-in, authentication, session security, and Services functionality. We also use analytics cookies or similar technologies to understand product usage and improve the Services. We do not use advertising cookies.
AI Usage Information. When you use AI Functionality, we may collect information necessary to process your request, such as prompts, relevant documents, financial figures, and related context. AI usage may also be metered, such as by tokens or requests, so we can operate the Services, enforce fair-use limits, troubleshoot issues, and manage usage.
Service Providers and Third-Party Services
We use third-party service providers to help us operate, host, secure, support, analyze, and provide the Services. These providers may assist with functions such as authentication, cloud hosting, database storage, application delivery, payment processing, AI processing, error monitoring, rate limiting, transactional email, and product analytics.
We share information with these service providers only as reasonably necessary for them to provide services to us or support the Services.
Certain Services features may send relevant documents, financial figures, prompts, and related information to our AI provider to perform the requested function. User Data is not used to train our AI provider's foundation models, and we do not train our own models on User Data.
The Services may also include links to or integrations with third-party websites, applications, or services. This policy does not apply to information processed by third parties outside the Services.
How We Use Your Information
We use information that we collect about you or that you provide to us, including any personal information, to:
- provide, operate, and maintain the Services;
- compute forecasts, normalize financial statements, generate analyses, and store your work;
- process documents, prompts, questions, and other inputs submitted through AI Functionality;
- create and manage your account;
- manage trials, subscriptions, billing, and account administration;
- respond to support requests and other communications;
- monitor, secure, troubleshoot, and debug the Services, including error monitoring, rate limiting, and abuse prevention;
- understand aggregate usage and improve the Services;
- enforce our Terms of Service and other applicable agreements;
- protect the Services, our Users, and our business; and
- comply with legal obligations.
We do not sell or rent personal information, and we do not use User Data for third-party advertising.
Disclosure of Your Information
We may disclose aggregated or de-identified information that does not identify any individual without restriction.
In addition, we may disclose personal information that we collect or you provide:
- to our subsidiaries and affiliates, if any;
- to contractors, service providers, and other third parties we use to support our business and provide the Services;
- to our AI provider as necessary to perform AI Functionality you use;
- to our payment processor as necessary to process payments and manage subscriptions;
- to a buyer or other successor in the event of a merger, acquisition, financing, reorganization, dissolution, sale of assets, or similar transaction involving all or part of our business;
- to fulfill the purpose for which you provide it;
- for any other purpose disclosed by us when you provide the information;
- with your consent;
- to comply with any court order, law, legal process, or government or regulatory request;
- to enforce our rights arising from our Terms of Service or other agreements, including for billing and collection; and
- if we believe disclosure is necessary or appropriate to protect the rights, property, or safety of Advanta, our Users, Organizations, customers, or others.
Choices About How We Use and Disclose Your Information
We strive to provide choices regarding the information you provide to us.
Account Information. You may view and update certain account information through the Services.
Cookies and Similar Technologies. You may be able to adjust your browser settings to refuse cookies or alert you when cookies are being sent. If you disable or refuse cookies, some parts of the Services may not function properly.
Marketing Communications. If we send you non-transactional marketing emails, you may opt out by following the unsubscribe instructions in those emails or by contacting us. Even if you opt out of marketing communications, we may still send you transactional, administrative, security, billing, or service-related messages.
AI Functionality. You control what documents, prompts, questions, and other User Data you submit through AI Functionality.
Accessing and Correcting Your Personal Information
You may review and update certain account information by logging into the Services.
You may also contact us at support@advantasystems.ai to request access to, correction of, or deletion of personal information that you have provided to us. We may not accommodate a request if we believe the change or deletion would violate applicable law, affect records we are required or permitted to retain, compromise security, or cause information to be incorrect.
If personal information was submitted to the Services by or on behalf of a User or Organization, we may refer your request to that User or Organization or act on that User's or Organization's instructions.
Your State Privacy Rights
State privacy laws may provide residents of certain states with additional rights regarding personal information.
The Services are currently intended for business users in Washington State. To exercise any rights that may apply to you, contact us at support@advantasystems.ai. We will respond as required by applicable law.
Rights that may apply include the right to:
- access personal information;
- correct inaccurate personal information;
- delete personal information;
- request a copy of personal information;
- object to or restrict certain processing; or
- opt out of certain types of data sharing or targeted advertising.
Data Retention and Deletion
We retain account information and User Data while your account is active or as needed to provide the Services. If you delete your account or request deletion, we will delete your account records and User Data from our production systems, subject to information we are required or permitted to retain for legal, tax, accounting, billing, security, fraud prevention, dispute resolution, or legitimate business purposes. Residual copies may remain in encrypted backups until they age out under our backup retention practices.
Data Security
We have implemented measures to help protect information processed through the Services from accidental loss and unauthorized access, use, alteration, and disclosure.
These safeguards may include encryption in transit, encryption at rest through our hosting providers, authentication, access controls, rate limiting, security headers, error monitoring with secret scrubbing, and least-privilege access.
The safety and security of your information also depends on you. You are responsible for keeping your account credentials confidential. Do not share your password or authentication credentials with anyone.
No internet-based or cloud-based system is completely secure, and we cannot guarantee the security of information transmitted to or through the Services. Any transmission of information is at your own risk.
If we learn of a breach affecting your personal information, we will notify you as required by applicable law.
Changes to Our Privacy Policy
We may update this privacy policy from time to time. If we make material changes to how we treat personal information, we will provide notice by appropriate means, such as by email, in-app notice, or posting a notice through the Services.
The date this policy was last revised is identified at the top. You are responsible for ensuring that we have an up-to-date, active, and deliverable email address for you and for periodically reviewing this policy for changes.
Your continued use of the Services after we post an updated policy means you acknowledge the updated policy.
